Invoicing Software for Home Care

Invoicing software for home care turns a logged visit into an invoice for the family or the long-term care insurer on that client. Porchlight does this for non-medical home care agencies. The invoice uses the payer rules already stored on the client, so the visit is not typed into a spreadsheet a second time.

Who receives the invoice

The invoice follows the payer on the client. It is not one template for every family and every carrier.

  • Private pay: the invoice can be addressed to a family contact.
  • Long-term care insurance: a carrier-formatted invoice lists the client, policy, dates of service, hours, rate, and total.
  • One client can be split across two payers. Each side gets the bill that matches that payer.
  • VA community care is billed from the authorization on the client, not as a family invoice.

What the invoice is built from

The visit is already logged. Porchlight applies the rates stored on that client and checks the bill before it goes out.

  • Bill rate and pay rate stay separate. The invoice uses the bill rate.
  • Holiday, overtime, and live-in rates can be stored on the client.
  • A visit minimum can be set on the client.
  • The default rounding step is 15 minutes, and it can be changed on the client.
  • Claim checks run before the bill goes out.

How the agency collects

After the invoice exists, the agency can send it and track what is still open.

  • Invoices can be emailed.
  • The payer can pay by card or ACH.
  • An aging report shows what is unpaid.
  • Automatic payment reminders are included.
  • Invoices export as a CSV file that QuickBooks can import. It is a file export, not a live QuickBooks connection.

Before the first invoice

An account is opened after the demo. The visit has to be logged in Porchlight, with the payer rules already on the client. A visit cannot be invoiced from this website.

Moving off the current billing process is scheduled on the kickoff call. A common window is two to four weeks. Onboarding and data migration are a separate one-time setup fee, quoted on that call.

Claims that are not invoices
