Caregiver Billing Software

Caregiver billing software here is for a home care agency billing a caregiver's completed visit. Porchlight is not a personal app for an independent caregiver. The bill uses the rate and the authorization stored on the client.

What gets billed

A completed visit should be billed once. Porchlight starts from the visit already logged and builds the invoice or the claim from that record.

  • Hours on the logged visit
  • The client's bill rate
  • The service on that visit
  • The payer rules stored on the client

The visit is not re-keyed into a payer portal or a spreadsheet. That second entry is where a rate or an authorization is often wrong.

Rates on the visit

Bill rate and pay rate stay separate on the client. The pay rate is stored so the agency can see it next to the bill rate. This software bills the payer. It does not run payroll.

  • Holiday, overtime, and live-in rates can be stored on the client, separate from the base rates.
  • A visit minimum can be set on the client.
  • The default rounding step is 15 minutes, and it can be changed on the client.
  • Claim checks run before the bill goes out.

More than one payer

One client can be split across two payers. The caregiver's visit is still one logged visit. Each payer is billed under the rules stored for that side.

  • Private pay can go to a family contact.
  • Long-term care insurance uses a carrier-formatted invoice with the client, policy, dates of service, hours, rate, and total.
  • VA community care is billed from the authorization on the client.

Before the first bill

An account is opened after the demo. The caregiver's visit has to be logged, with the client's bill rate and payer already stored. A visit cannot be billed from this website.

Moving off the current billing process is scheduled on the kickoff call. A common window is two to four weeks. There is no free trial. The price is a quote based on active clients, not a per-caregiver seat fee. Users who run billing are included.
